The Executive Director is responsible for the overall management of Woolwich Community Services, a multi-service, non-profit organization. Key responsibilities include overall co-ordination of programs and services; human resources planning and administration; financial management, planning and reporting; drafting and implementing organizational policies and procedures; equipment and space management and other administrative functions as required in supporting the mission of WCS. The Executive Director reports to, and is supported by, a volunteer Board of Directors.

EDUCATION REQUIREMENTS
• Post secondary degree or diploma in social services
• Minimum 10 years’ experience in a senior leadership role
DESCRIPTION OF DUTIES
Community Engagement
• Represent and promote WCS throughout the community.
• Serve as an active member of various community committees representing WCS and rural issues.
• Liaise with government, social service agencies, and health professionals on issues affecting WCS programs and issues related to the community as a whole.
• Provide leadership in identifying community development initiatives that respond to local needs.
• Oversee all agency communications and act as official spokesperson for agency (or designate as required).
Financial Planning, Management and Control
• Manage the day-to-day finances of WCS to ensure there is continuity in the cash flow.
• Oversee budgets to ensure resources are allocated and tracked appropriately according to funders’ requirements and meet the expectations and requirements of the Board and donors.
• Ensure completion of grants and reports with timely submission to funders
• Prepare program and operation budgets for Board approval.
• Complete monthly, quarterly, and yearly financial statements for submission and approval by Board; provide budget analysis and reporting including current and long-term planning.
• Present and defend all budget submissions approved by Board to various funding bodies.
• Assign deposits and invoices to appropriate programs and budget lines.
• Ensure bookkeeping and payroll practices are completed correctly and are up to date.
• Discuss with auditor and board, any concerns arising from financial procedures.
• Oversee all fundraising strategies and events to ensure effectiveness and success.
• Negotiate with financial institutions, insurance, and government any changes in agency strategic directions.
Strategic and Operational Planning
• Work with the Board of Directors to ensure the WCS Strategic Plan is up to date.
• Work with the Board of Directors and staff to prepare annual and long-term plans that are aligned with WCS Strategic Plan.
• Work with the Board of Directors and staff to ensure organizational policies and procedures are up to date.
• Continually monitor organizational design to ensure structure is effective and efficient.
• Provide advice, management and support to staff and Board about issues and strategies related to ongoing improvement.
• Ensure that operations meet the requirements of funders and stakeholders.
Program Planning, Implementation, and Reporting
• Develop and recommend new program initiatives, develop program goals & objectives with consultation from staff and Board and community members.
• Evaluate operation of each program ensuring the established objectives are responding effectively to the needs of the participants and community.
• Review program statistics, compile quarterly summaries for staff and Board.
• Evaluate the effectiveness of each program on a regular basis.
• Remain current with legislation, government objectives, funding opportunities, and trends.
• Assist in the development of the agenda and direction of WCS committees.
• Sit as an ex-officio member of all Board committees.
• Work with Executive Committee to prepare agenda for all Board meetings.
• Provide reports and updates to WCS committees and Board.
Staff and Volunteer Leadership and Management
• Work with the Board of Directors to determine how the staffing needs of WCS will be met.
• Oversee recruitment, hiring, orientation and training, and supervision of staff and volunteers.
• Support professional development for staff; establish and implement mentoring and training related to the activities of WCS to give staff the tools and resources they need to enhance skills.
• Establish short- and long-term performance objectives for staff, deliver performance feedback, both on an ongoing basis and at formal milestones such as annual performance review.
• Ensure volunteers are engaged, supported, and recognized to maintain their enthusiasm and interest in WCS.
• Facilitate team building to build rapport among staff and volunteers.
• Ensure a safe, secure working environment utilizing current WCS policies and other occupational health and safety guidelines.
• Facilitate communication among WCS programs through staff meetings and other updates.
Other
• Ensure a welcoming, inclusive environment.
• Respond to general enquiries when required.
• Provide directions in difficult enquiries and situations.
• Assist as required in absence of appropriate staff.
• Ensure all WCS facilities are maintained adequately meeting all safety standards, bylaws, and building codes.
• Ensure space & equipment is utilized effectively
General Duties

• Complete training to apply the principals of Trauma-sensitive practice

• Obtain and keep current, all certification requirements for position
• Actively promote all WCS programs and services
• Support staff in meeting community requests/inquiries
• Perform other duties as assigned
